from signed to booked
Sway helps venues turn private-event interest into confirmed bookings without adding another person to payroll.
We build the event page, launch and manage the advertising, respond quickly to every new inquiry, and keep improving the system once it is live. You stay in control of your venue. We handle the growth work around it.
what happens next
The first month is build and launch. The second month is lead flow and calibration. By month three, the system is sharper, reporting is clearer, and the calendar has better momentum.
Intake, page build, and campaign setup
We collect the essentials: photos, pricing guidance, event capacity, availability rules, and the types of events you want more of. Then we build your event page and campaign structure. You approve the page and ads before anything goes live.
Launch, tracking, and early learning
Campaigns go live, tracking is checked, and the first signals come in. We look at what people click, what they submit, which messages attract the right inquiries, and whether the page is doing its job. You see early activity in your weekly update.
Qualified inquiries start moving
As the campaigns learn, inquiries become easier to read and prioritize. Each inquiry is acknowledged quickly in your venue’s name, then routed through the right follow-up path. Depending on your plan, your team receives qualified opportunities, or Sway supports the booking process through to confirmation.
Reporting, refinement, and better calendar control
You get weekly updates and a full monthly report showing inquiries, bookings, event value, and what we are changing next. We use the data to improve targeting, creative, follow-up, and lead quality over time.
the engine around your venue
Most venues do not need more tools. They need the right demand, fast follow-up, and a repeatable way to turn interest into booked business.
Event page
A focused page for private events, with clear positioning, strong imagery, practical details, and one simple path to inquiry.
Advertising
Campaigns built around the events you actually want to host, with testing across message, audience, creative, and timing.
Lead response
New inquiries are acknowledged within five minutes by text and email, so interested hosts do not sit waiting while they contact other venues.
Follow-up
Hosts get clear next steps, helpful reminders, and timely communication so good inquiries do not go cold.
Reporting
You see what happened, what it produced, and what we are improving next. No vanity report. No mystery spend.
Ongoing improvement
We keep refining the system as the data gets stronger, your calendar changes, and demand shifts by season.
more useful than a listing. lighter than hiring.
Marketplaces wait for people to find you. Software gives your team another system to manage. Sway sits in the middle: active marketing, fast response, booking support, and performance visibility.
what this can produce
Performance depends on the venue, market, calendar, pricing, and follow-up path. These examples show what the system can create when the inputs are strong and the venue is ready to convert.
Spend-to-revenue ratio in one strong month
A restaurant venue confirmed $39,000 in bookings against less than $1,000 in advertising spend in May. This was a single venue and a particularly strong month, not a guarantee.5
Qualified inquiries per month at our busiest venue
Our highest-volume venue receives more than 75 qualified event inquiries a month. Not every venue should expect that volume, but it shows what a strong demand engine can create.6
Qualified inquiries delivered in three months
For one lead-generation client, Sway delivered 101 qualified event inquiries to the venue team over three months. The venue handled booking from there.7
your part is light, but important
The better the inputs, the faster we can launch quality work. We do not need endless meetings. We need the practical details that let us represent your venue well.
That is the working relationship. We keep the process moving, and you give us the approvals and venue details we need to keep performance clean.
your venue also gets discovery support
Sway venues can also appear on PrivateEvents.co, our consumer-facing site for people searching for event spaces.
That gives your venue another path to inquiry alongside paid advertising. It also helps us understand what hosts are looking for across markets, event types, and budgets.
Paid demand
Campaigns reach people actively planning private events near your venue.
Discovery demand
PrivateEvents.co gives hosts another place to find the right space and start the conversation.
Shared learning
Insights from ads, inquiry behavior, and booking conversations make the system stronger over time.
what venues ask before signing
Good operators ask practical questions. Here are the ones we expect.
How fast can we go live?
For a standard venue, we aim to move quickly once we have the required assets, pricing guidance, and approvals. Delays usually come from missing photos, unclear event minimums, or slow approval cycles.
Do we need to manage the campaigns ourselves?
No. Sway builds, launches, monitors, and improves the campaigns. Your team stays focused on running the venue and reviewing the updates we send.
Who responds to new inquiries?
New inquiries get a response by text and email within five minutes on Sway-managed channels. Depending on your plan, Sway either qualifies and routes them to your team, or supports the booking process further.
Will this work if we mostly want weekday events?
That is one of the main reasons venues work with Sway. We can angle campaigns toward the open dates, event types, and guest counts that make the most commercial sense for your space.
What will we see in reporting?
You will see inquiry volume, booking progress, event value, spend where relevant, and what we are changing next. The point is not to produce a report. The point is to make better decisions.
Are results guaranteed?
No. Venue performance depends on market, pricing, calendar availability, service model, creative assets, and follow-up path. What we can promise is disciplined execution, fast response, transparent reporting, and consistent improvement.
