why this matters
An outside caterer or an outside vendor rarely costs you money directly. It costs you the kitchen you didn't rent out, the staff hour spent chasing a certificate of insurance, and the load-in slot a preferred vendor would have filled instead. Waiving the fee doesn't remove that cost. It just means the venue absorbs it instead of pricing it.
The right number depends on what you're actually giving up. A restaurant with a full kitchen program gives up more than a gallery that never ran one. This calculator adjusts the fee by venue type instead of asking every space to charge the same flat number for a very different exception.
